Policies and Procedures
YOUR SIGNATURE ON THIS AGREEMENT, OR PAYMENT OF MONEY, OR TAKING POSSESSION OF THE PROPERTY AFTER RECEIPT OF THE AGREEMENT IS EVIDENCE OF YOUR ACCEPTANCE OF THE AGREEMENT AND OF YOUR INTENT TO USE THIS PROPERTY FOR A VACATION RENTAL.
1. NIGHTLY MINIMUMS:
Please note that there is a two-night minimum at all times except during special events (NASCAR, IRL, Vintage Festival, Wine Festival), when we have a 3 night minimum. Please contact us for details!
2. PAYMENTS:
All arrangements for payment must be made prior to or at the time of check-in. Payment may be made through PayPal using a credit card or PayPal account, by money order, or payment may be made at time of check-in using cash (a credit card is still required to hold the reservation and for any damages to the property). Personal checks will not be accepted.
3. OTHER CHARGES AND FEES:
A. All reservations incur 8.25% NY Sales Tax and there is a 4% Room Tax in addition to the rental amounts and fees.
B. A $100 cleaning fee will be applied if the occupant smokes in the property. This fee is non-negotiable as the occupant enters into the contract with full knowledge of the strict non-smoking policy.
C. A $25 per night fee will be applied if the occupant chooses to bring a pet into the rental property to cover any cleaning costs that may be incurred by the stay of the pet.
4. CANCELLATION AND CHANGE POLICIES:
A. Cancellations made at least 14 days prior to arrival will be refunded in full.
B. Cancellations made at least 7 days in advance will receive a 50% refund.
C. Cancellations made less than 7 days in advance will not receive a refund unless the property is able to be rented by another party.
D. A guest who declines to stay in the property for any reason is considered a cancellation.
E. Spring’s Retreat is not responsible for the weather or other Acts of God and there will be no refunds due to inclement weather.
5. OCCUPANCY:
A. The maximum occupancy of the property is 4 adults or 2 adults and 2 children. A violation of this maximum will result in rent forfeiture and immediate eviction of guests. Guests will restrict occupancy to limit at all times.
B. ABSOLUTELY NO HOUSE PARTIES, YOUTH GROUPS, FRATERNITIES, SORORITIES, WEDDINGS, RECEPTIONS, MEETINGS, OR PARTIES ALLOWED. SPRING’S RETREAT DOES NOT RENT TO GROUPS OF STUDENTS UNDER ANY CIRCUMSTANCES, EVEN IF A PARENT OR LEGAL ADULT MAKES THE RESERVATION AND/OR PAYS THE RENT. If such a group attempts to occupy the rental property, ALL MONIES WILL BE FORFEITED AND GUESTS WILL BE ASKED TO VACATE THE PROPERTY IMMEDIATELY.
6. SECURITY DEPOSIT:
A security deposit is not required, however, a valid credit card must be used to reserve the property. If the guest is unable to secure with a credit card, a money order made out for the full amount of the stay will be accepted and is expected to be mailed immediately to: Spring’s Retreat, 3636 County Route 16, Montour Falls, NY 14865
7. MECHANICAL FAILURES/REPAIRS:
Spring’s Retreat is not responsible for mechanical failures such as, but not limited to, Air Conditioning, or any other appliance that fails to operate properly during your stay. These failures are beyond our control & no refund or rent reduction will be given. Please report inoperative equipment to management of Spring’s Retreat. Spring’s Retreat will make every effort to have repairs done as quickly as possible during reasonable hours.
8. PETS:
A. Absolutely NO PETS, unless specified and documented by Spring’s Retreat on the rental premises or inside the rental unit.
B. Penalties are a $100 charge, immediate removal of pet, and/or eviction of guests. All rental payment will be forfeited.
C. All pets must be approved by Spring’s Retreat.
D. There is a $25 per night non-refundable fee per pet unless otherwise noted.
E. Any misrepresentation regarding number or type of pets will be charged accordingly.
F. Guest is held financially responsible for all physical damages to property ( i.e . chewing, scratching, flea infestation, etc.), inflicted on the property by the presence of a pet. If extra cleaning is deemed reasonable due to the presence of a pet, (i.e. soiled furniture and/or flooring, hair on furnishings or bedding or fleas) the guest will be held financially responsible and the credit card on file will be charged for the amount of the repair/recovery. All pets are required to be leashed when outside and no pet shall be tied outside the unit unless supervised by a responsible adult. Spring’s Retreat is not liable for any injury to a pet caused by wildlife or under any other circumstances.
9. ACCIDENTS:
A. Guest agrees to hold Spring’s Retreat harmless for any accident or injury whatsoever that may occur on the rental property during occupancy.
10. DIRECTIONS AND KEY INFORMATION:
A. Spring’s Retreat will provide detailed directions to the property and instructions for checking into the property. Internet mapping devices and navigation systems are NOT recommended as they do not show the property location correctly. Information regarding check in procedures, including directions and unit’s key instructions, is sent via email after initial reservation is confirmed.
11. THE PROPERTY IS EQUIPPED WITH:
A. Linens, towels, cooking utensils (microwave, oven, barbeque), soap, paper goods, and some cleaning implements are included in the property.
B. Smoke and Carbon Monoxide Detector. Please contact Spring’s Retreat immediately at 607 857 1757 if a detector is malfunctioning.
12. PERSONAL ITEMS:
Spring’s Retreat is NOT responsible for Guests’ personal belongings that are lost, stolen, or left behind. If an item is left behind and is found, the items will be returned at the Guests’ expense.
13. CLEANING:
A. All of our cottages are professionally cleaned before you arrive and after you leave. Please report within 4 hours anything we failed to clean.
B. Any linens/towels found missing or ruined due to your stay will result in a charge made to the securing credit card for reasonable replacement costs. Some cooking basics: coffee, tea bags, spices, cooking oil, flour and sugar are also provided for your convenience. Extended stays may arrange for light housekeeping or a grocery service.
C. Guests are responsible for cleaning and storing all dishes, utensils, and removing all trash to the appropriate outside container. By signing this agreement, the tenant agrees to pay a secondary cleaning fee if check-out procedures are not followed and extraordinary cleaning is deemed necessary.
14. CHECK-IN AND CHECK-OUT:
A. CHECK-IN IS AFTER 4PM. Check-in may be allowed earlier if the property is available.
B. CHECK-OUT IS AT 11AM. If the property is not vacated at 11AM, Spring’s Retreat is authorized to remove guests’ belongings from the property at guest expense. A late check-out fee of $25/hour, beginning at 11AM, will be charged to the credit card on file.
15. LOCKED OUT:
If you are locked out of the property, call 607.857.1757 and the property will be re-opened as soon as is possible. |
